Fuel Management

Bring costs under control with fleet fuel management. Fuel is a fleet’s biggest expense, and every drop must be accounted for. 3Dtracking’s fuel management platform makes this easier.
Ready to give your clients immediate visibility into usage, refuels, and sudden drops, all in one place?

An easier way to track and manage fuel costs

Who’s accountable when fuel numbers don’t add up?
Lost receipts, inconsistent refuels, and unexplained drops in the tank make it almost impossible to know where fuel is really going – and who’s using it. Our platform replaces that guesswork with live data, so you see events as they happen and reference past records anytime.

What is fuel management?

Fuel management is the process of monitoring and controlling how a fleet uses fuel. Traditionally, this would be done on paper. Since 2005, our platform with its industry-leading fuel algorithm combines tracking, customizable reports, and automation to make fuel management more efficient and transparent.

HOW IT WORKS

How does fuel management work?

1

Install data sources

Data comes from sensors, CANbus, on-board diagnostics (OBD), fuel cards, or flow meters, depending on the vehicle setup and giving users flexibility across different fleet types.
2

Collect real time readings

3Dtracking's platform records live fuel levels, refuels, and drops directly from these hardware devices. This makes it easier for users to view and understand fuel consumption at a glance.
3

Log every event

Refueling, consumption, and sudden decreases are captured and stored in our fuel management system. You can set thresholds such as refuel limits or minimum drop values to distinguish normal use from irregular events, so it’s easy to spot theft or inefficiencies early.
4

Generate reports

Our system consolidates data into various reports, depending on what your clients want to see. Graphs and charts display fuel patterns trip by trip or across selected time ranges, making analysis faster. All fuel-related data is saved and organized for future reference and effortless audits.

REPORTING

Types of fuel management reports

Fuel

The primary fuel report shows exactly how much fuel was used between refueling events. Fleet managers can select the vehicle and time period to get a straightforward breakdown of usage, pulled directly from the fuel log. It’s a simple way to see where and when fuel is being burned.

Fuel summary

The fuel summary report pulls everything together - refuels, consumption, and sudden drops - into one clear line per vehicle. Instead of combing through multiple reports, managers get a quick snapshot of overall fuel activity and trends for any chosen time frame.

Fuel consumption

The fuel consumption report focuses on how much fuel a vehicle has used. It takes into account distance traveled, idle time, and sensor data to give a clear picture of real consumption. This helps to distinguish normal driving fuel burn from fuel wasted while idling.

Fuel increase (refueling)

The fuel increase report highlights every refueling event. By setting a threshold (such as 10% of the tank), the system filters out small fluctuations and only logs genuine refuels. This makes it easy to track when, where, and how much fuel is added to each vehicle.

Fuel sudden decrease

The fuel sudden decrease report captures sudden drops in fuel levels. Users can set parameters – for example, how big the drop must be or whether the vehicle was moving or stationary - to flag suspicious activity. This helps spot irregular events, including fuel theft.

Fuel consumption (asset)

The fuel consumption (asset) report is designed for non-vehicle equipment, like generators. Instead of trips or distance, it tracks fuel used over time based on engine hours. The result is a daily record of how much fuel each asset consumes, making it easier to compare expected vs. actual usage.

Why is a fuel management platform important?

  • Spot theft or leaks by easily monitoring refuels and sudden abnormalities.
  • Eliminate paperwork with automated fuel logging.
  • Compare performance across vehicles to find inefficiencies.
  • Generate reports that are customizable and comprehensive.
  • Keep records organized for audits and billing.
  • Act on issues the moment they happen with live data.

Frequently asked questions

What is fuel smoothing? Fuel smoothing involves using algorithms to normalize fuel data. It’s necessary because raw fuel data coming from sensors is rarely “clean”; it often contains noise, gaps, and sudden spikes that might be due to temperature changes, for example, and not, as it might appear, theft.
What is a fuel monitoring system? A fuel monitoring system, like 3Dtracking, tracks how much fuel a vehicle or asset uses in real time.
What is a fuel level sensor? A fuel level sensor is a device installed in a vehicle’s tank that measures how much fuel is inside. It feeds live data to the fuel management platform.
How do you distinguish between normal consumption, refueling, and fuel theft events? Our platform relies 100% on what the vehicle’s device reports. Based on that and the customizable parameters, reports, and alerts, clients can identify the different events.
Why do you need a fuel consumption report? A fuel consumption report helps to identify waste, track idling, and compare efficiency across vehicles.
What are fleet fuel management solutions? Fleet fuel management solutions combine hardware and physical sensors with software that logs events, generates reports, and alerts managers to unusual activity.

“Our platform puts every refuel and every drop into context, so partners and their clients don’t have to guess where fuel is going.”
