Fuel management is the process of monitoring and controlling how a fleet uses fuel. Traditionally, this would be done on paper. Since 2005, our platform with its industry-leading fuel algorithm combines tracking, customizable reports, and automation to make fuel management more efficient and transparent.

Install data sources

Data comes from sensors, CANbus, on-board diagnostics (OBD), fuel cards, or flow meters, depending on the vehicle setup and giving users flexibility across different fleet types.

Collect real time readings

3Dtracking's platform records live fuel levels, refuels, and drops directly from these hardware devices. This makes it easier for users to view and understand fuel consumption at a glance.

Log every event

Refueling, consumption, and sudden decreases are captured and stored in our fuel management system. You can set thresholds such as refuel limits or minimum drop values to distinguish normal use from irregular events, so it’s easy to spot theft or inefficiencies early.

Types of fuel management reports

Fuel

The primary fuel report shows exactly how much fuel was used between refueling events. Fleet managers can select the vehicle and time period to get a straightforward breakdown of usage, pulled directly from the fuel log. It’s a simple way to see where and when fuel is being burned.  

Fuel summary

The fuel summary report pulls everything together - refuels, consumption, and sudden drops - into one clear line per vehicle. Instead of combing through multiple reports, managers get a quick snapshot of overall fuel activity and trends for any chosen time frame.

Fuel consumption

The fuel consumption report focuses on how much fuel a vehicle has used. It takes into account distance traveled, idle time, and sensor data to give a clear picture of real consumption. This helps to distinguish normal driving fuel burn from fuel wasted while idling.

Fuel increase (refueling) 

The fuel increase report highlights every refueling event. By setting a threshold (such as 10% of the tank), the system filters out small fluctuations and only logs genuine refuels. This makes it easy to track when, where, and how much fuel is added to each vehicle.

Fuel sudden decrease

The fuel sudden decrease report captures sudden drops in fuel levels. Users can set parameters – for example, how big the drop must be or whether the vehicle was moving or stationary - to flag suspicious activity. This helps spot irregular events, including fuel theft.

Fuel consumption (asset)

The fuel consumption (asset) report is designed for non-vehicle equipment, like generators. Instead of trips or distance, it tracks fuel used over time based on engine hours. The result is a daily record of how much fuel each asset consumes, making it easier to compare expected vs. actual usage.

It’s necessary because raw fuel data coming from sensors is rarely “clean”; it often contains noise, gaps, and sudden spikes that might be due to temperature changes, for example, and not, as it might appear, theft.
